Example: a personal-injury enquiry after hours

This is an illustrative workflow, not a client story. Someone enquires through an advertising form after the office has closed. They describe an injury and ask to speak with a lawyer. The proposed handoff follows these steps.

The system records the enquiry and its source. It summarises the person's own account for intake staff, without rating the claim or suggesting an entitlement.

Identify the missing admin

The enquiry has no preferred contact time. The summary flags that gap and suggests the personal-injury intake owner. Uncertain details remain flagged for staff to clarify.

Prepare a careful reply

The draft asks when the person can speak. A lawyer or intake staff member checks the tone and approves it before sending. It makes no promise about taking the matter.

Arrange the consultation

AML/CTF ONBOARDING

Support for firms providing designated services

From 1 July 2026, AML/CTF obligations apply to certain services provided by lawyers and other professions. Check AUSTRAC's designated-services guidance and its tranche 2 factsheet. Coverage depends on the services your firm provides.

Confirm which work is covered

Examples include assisting with buying or selling real estate or a business, managing client money as part of a transaction, and creating or restructuring companies and trusts. Confirm your obligations with AUSTRAC or your professional body.

Collect and check the file

For a covered onboarding workflow, the system can collect information and documents, check them against your AML/CTF program checklist and prepare missing-item reminders for staff approval.

Leave risk with the firm

The system helps collect, check and record. It does not make a firm compliant and does not decide risk. Your compliance officer and lawyers make those decisions.

Keep responsibility clear

Start with an intake handoff map

Before connecting a live inbox, map one enquiry route and produce a reusable administrative checklist. Test the handoff with a synthetic or explicitly permitted enquiry.

Trace the current route

Show where the enquiry arrives, who reads it and who approves the reply. Name the point at which a lawyer must take over, including conflicts and acceptance decisions.

Review the prepared handoff

Staff review the draft summary, missing fields, assigned next step and follow-up draft. Check whether someone could use them without rereading the full enquiry. Correct the checklist where they cannot.

Agree a limited build

Count enquiries that staff have contacted. Keep those waiting for approval distinguishable from messages already sent.

Consultations booked

Record agreed consultations against their original enquiries so the practice can follow the route from first contact to appointment.

Consultations attended

Have staff confirm attendance. Review bookings and attendance separately so an appointment in the calendar is not mistaken for a conversation.

Matters accepted

Use only firm-confirmed acceptance. Compare it with contacted enquiries and consultations; do not let the system infer acceptance from a positive reply.

Who approves messages to prospective clients?

A lawyer or nominated intake staff member approves replies and follow-ups. We agree the reviewer and approval step during the handoff map. Sensitive or uncertain situations stay with staff.

Which tools can it work with?

We build around the tools your practice already uses. We check the connection available for each step before agreeing scope. Where a tool has no usable connection, that step stays manual.

How do you handle access to confidential information?
