I'd start with the software your practice already pays for. Check the plan and configure the collection features before adding another subscription. Content Snare is worth comparing when you want a separate request tool. But if staff spend their time deciding what each client still owes you, a reminder schedule only handles part of the work.

Which Tools Chase Documents Automatically, and What Do They Cost?

Content Snare: Price the Active Requests, Not Just the Seats

Content Snare allows as many email reminders as you want per request. Its account pricing includes a user allowance, so it is a different calculation from buying a licence for every staff member.

As published in US dollars on its site as at October 2026, annual billing costs US$35/month for Basic, US$71 for Plus and US$119 for Pro. Those plans allow 20, 50 and 100 active requests, with two, five and ten users respectively. Monthly billing costs US$42, US$85 and US$143. Custom starts at US$215/month annually or US$258 monthly. Australian customers pay GST.

I'd count the requests likely to remain open together during tax time. That cap could matter more than the number of people using the account.

Karbon: Requests and Automatic Reminders Are on Different Tiers

Karbon says reminders run on the dates you set and attachments are filed against the corresponding jobs. That is useful when the job is already managed in Karbon.

The October 2026 pricing comparison puts client requests on every plan, but automatic reminders on Business and Enterprise. Team is US$59/user/month annually or US$79 monthly; Business is US$89 annually or US$99 monthly. Enterprise is custom. Monthly billing for Team and Business is available only to teams of four or more.

These are the default US dollar figures shown on Karbon's pricing page. Switch the page to AUD and confirm GST before budgeting. I would compare the cost of upgrading the relevant users against a separate collection subscription.

Fyi: Check the Automation Configuration as Well as the Tier

FYI describes information-request email sequences, income tax return checklists and reminders. Its Collaborate portal accepts client uploads for automatic filing.

As at October 2026, FYI publishes Intermediate at A$30, Pro at A$50 and Elite at A$70 per user per month, billed monthly excluding GST, with a five-user minimum. Workflow and custom process automations start at Pro. Migration, onboarding and consulting are quoted separately.

Ask FYI to demonstrate your missing-document sequence and confirm the required plan. FYI's Collaborate page does not say whether Collaborate is included in every plan.

MYOB Practice Compliance: Verify the Chasing Separately

MYOB publishes document sharing, storage and e-sign requests. Its support documentation also confirms client uploads through the portal.

Does Content Snare Replace Practice Management Software?

For this comparison, treat Content Snare as a collection tool beside the practice software you retain. Its request allowances and reminder features are the buying decision here. They do not establish a replacement for your wider practice workflow.

Before adding it, decide where the job status lives, who checks returned documents and how completed requests reach the job owner. Another portal needs a clear place in the process.

What Does a Client Portal Not Fix?

A reminder tells a client to act. Your practice still needs rules for deciding what action is appropriate.

I'd test a proposed setup against three examples: last year's rental property is missing from the request list; the client replies “I'll send it Friday”; and a client keeps uploading the wrong statement. Ask the supplier to demonstrate what happens next.

How Should Accountants Handle Tfns and Sensitive Documents?

The OAIC's TFN guidance says recipients must take reasonable steps to safeguard TFN information and restrict access to staff who need to handle it.

My design preference is an appropriately secured portal with controlled access, rather than spreading sensitive attachments through email threads. Give any automation access only to the information needed for the task. Review permissions, storage and retention before connecting systems; a portal label alone does not settle those questions.
