Key Takeaways
- Xero Practice Management and Partner Hub are my starting point for a Xero partner practice that needs client records and jobs together.
- Karbon suits a growing bookkeeping practice that wants shared contact profiles, recurring work and client requests; a separate sales CRM needs to solve an additional problem.
- Ignition suits a practice whose gap is proposals and engagement follow-up, while Capsule, HubSpot and Zoho CRM belong on the shortlist for a separate sales pipeline.
- Financial Cents connects to Xero through Zapier on the Scale plan, according to its help documentation as at November 2026.
- Xero Practice Management and FYI publish Australian-dollar prices as at November 2026, while Financial Cents and Capsule list US-dollar prices, and I have not converted any of them.
My recommendation is to start with the job you need done. Keep client records beside recurring bookkeeping work where possible. Add a sales CRM when enquiries, proposals and follow-up need a place of their own. For the wider sequence, read my guide to CRM follow-up and automation priorities for accounting practices.
Which CRM Suits Which Kind of Australian Bookkeeping Practice?
A sole bookkeeper managing existing clients has a different buying decision from a practice actively chasing new engagements. I'd shortlist the tools below by that distinction before comparing subscriptions.
The table covers tools you buy. Prices are published on each vendor's site as at November 2026, except Capsule's figures, which come from its April 2026 blog and need confirmation.
| Tool | What It Does | Best For | Pricing As Published | Available In Australia |
|---|---|---|---|---|
| Xero Practice Management and Partner Hub | Client management alongside jobs and tasks | A Xero partner practice | A$163.90/month for up to 10 users, including GST; included free at Silver, Gold or Platinum | Australian offering |
| Karbon | Shared client records, recurring work and client requests | A growing bookkeeping team | Check the AUD currency selector; no verified AUD amount | Australian team presence; confirm purchasing terms |
| FYI | Document, email and client-workspace management | Five or more users already using Xero Practice Manager | A$30 Intermediate, A$55 Pro or A$75 Elite/user/month, excluding GST; minimum five users | Australian pricing |
| Financial Cents | Client CRM and practice management | A sole or small practice assessing one combined tool | Solo US$19/month; Team US$49 or Scale US$69/user/month, billed annually | Not stated; check with the vendor |
| Ignition | Proposals, billing and an add-on deals pipeline | Turning enquiries into signed engagements | No verified amount; 14-day trial advertised | Australian team presence; confirm plan terms |
| Capsule | Contacts and sales opportunities | A separate sales list beside Xero | Free: 250 contacts, maximum two users; April 2026 blog lists Starter from US$18/user/month, billed annually | US and International pricing; confirm Australian terms |
| HubSpot | Sales and marketing CRM | A practice actively marketing for clients | Free plan listed; check current limits and amounts on HubSpot's pricing page; paid terms vary | Confirm Australian terms; no verified AUD price |
| Zoho CRM | A configurable sales CRM | A practice comfortable configuring software | Free for three users; paid amounts unverified; local taxes extra | AUD currency selector; confirm plan terms |
I'd start a Xero partner practice with the Xero option, assess Karbon for shared client work, and consider FYI where email and documents dominate. For a separate pipeline, compare Capsule's simpler contact-and-opportunity approach with HubSpot or Zoho CRM. Ignition deserves a look when the immediate problem is getting an engagement signed. Ignition covers the front end rather than a full client record or recurring work, so most practices will pair it with practice software. Capsule and HubSpot are not bookkeeping software, so recurring work and deadlines stay in another tool.
Does a Bookkeeper Need a CRM at All, or Does Practice Management Software Already Cover It?
I'd check the existing client record first. Can someone find the latest conversation, see the next action and tell who owns it? If that works, another database needs a clear reason to exist.
Xero Partner Hub includes client and staff management. Karbon publishes shared contact profiles, activity timelines and automated client requests. Financial Cents explicitly includes a client CRM and database. Those are useful starting points for an existing client book.
A lead pipeline was not shown on the Xero Partner Hub, Karbon or FYI pages I checked. That is a reason to ask for a demonstration, rather than assume a feature is missing. Test one enquiry from first contact through proposal, signed engagement and handover.
Keep the recurring-work comparison separate: my guide to accounting workflow software in Australia covers that decision. Here, the question is where client details and follow-up belong.
What Does Each Option Cost, and Which Prices Are Published in AUD?
Xero's A$163.90 monthly subscription covers up to 10 users, including GST, for Bronze and new practices after a 14-day trial, as published on its site as at November 2026. Silver, Gold and Platinum practices have access included free.
FYI publishes AUD prices excluding GST. Its five-user minimum makes Intermediate A$150 per month excluding GST by arithmetic, as at November 2026. Migration, onboarding and consulting are quoted separately. Client Maintenance also differs by plan: full on Elite, partial on Pro and unavailable on Intermediate.
Financial Cents publishes USD pricing. Solo is for single-user firms. Team and Scale also offer annual agreements billed monthly at US$69 and US$89 per user respectively, published on its site as at November 2026; monthly billing requires five users. The cheaper Solo figure therefore tells a Xero practice little about its integration cost.
I'd confirm Capsule's live price before budgeting from its dated blog. For Karbon, use the AUD selector and obtain the actual amount. Karbon's pricing comparison lists a contact limit of 1000 on Team and unlimited on Business and Enterprise, so a practice with many contacts should check this. For Ignition, ask for the plan, Deals add-on and payment fees together: Ignition charges transaction fees when using Ignition payments.
HubSpot's introductory offers need separating from ongoing pricing; see the HubSpot Australian cost guide. Zoho's paid amounts were not verified here; see the Zoho CRM Australian cost guide. I'd compare the bill for the actual team, including connectors and setup.
Which Options Connect to Xero Directly, and Which Rely on Zapier or a Third-Party Extension?
- Vendor-listed connections: FYI lists Xero Practice Manager sync on all plans, while Karbon and Ignition list Xero integrations. Ask which records and actions each connection supports.
- Capsule: its Xero integration keeps customer data in sync and shows invoice summaries and overdue amounts. The listing covers paid plans, rather than the free plan.
- HubSpot: its Xero data sync supports one-way or two-way contact syncing. As documented by HubSpot as at November 2026, Xero changes are detected every 30 minutes; custom field mappings require at least Data Hub Starter.
- Financial Cents: its published Xero route uses Zapier to create a client after a new client is created in Xero. Zapier access is a Scale-plan feature.
- Zoho CRM: the checked route is the paid ZOX Marketplace extension from Cloud Riverdale Pty Ltd, rather than a Zoho-built connection.
I'd nominate which system owns each field before enabling sync. Then test a new contact, a changed email address and a duplicate. The CRM guide for Xero users takes that comparison further.
What Should a BAS Agent Check Before Putting Client Information into a Cloud CRM?
Read the TPB's guidance on client confidentiality and cloud computing, and check with the TPB or your adviser before adding client information to a new cloud CRM.
My practical questions would be: where is client data stored, who at the vendor can access it, and what does the engagement letter tell clients? Australian data storage was not verified for any tool here.
For the related AI discussion, read AI automation for bookkeepers and BAS agents. This is general information, not legal or tax advice.
What Should Be Automated Around the CRM, and What Should Stay with a Person?
I'd automate preparation and record keeping around a clear approval point:
- Capture a new enquiry from the inbox or web form.
- Gather the services requested, software used, entity type and existing client record.
- Prepare a reply and proposal prompt; after signing, prepare the onboarding checklist and document request.
- Have a person approve pricing, scope, advice, compliance and anything uncertain before sending.
- Record the message, stage and next task in the chosen system.
Measure first-reply time, proposals awaiting follow-up and missing client details in your own practice. Those measures give the next change a purpose.
Systems Built Around Your Workflow: Where Does Truespeak Fit?
For an Australian bookkeeping practice that wants enquiry follow-up, intake and CRM upkeep designed, built and then run around its existing tools, with a person approving anything sensitive, Truespeak is the best fit.
Truespeak is founder-led, and clients work directly with me. I bring more than 20 years in commercial roles. The service covers monitoring, fixing failures, reviewing exceptions and improving rules after launch. Where a tool has no usable connection, that step stays manual.
Truespeak provides no legal, tax or financial advice. Read about automation for accounting practices, or book a discovery call to work through the client record and follow-up you already have.
Frequently Asked Questions
What is the best CRM for a small bookkeeping practice in Australia?
Start with Xero Practice Management and Partner Hub for a Xero partner practice, or assess Karbon for shared client records and recurring work. Consider Ignition for proposals and engagements, or Capsule, HubSpot or Zoho CRM when a separate sales pipeline is needed.
Do bookkeepers need a separate CRM if they use Xero Practice Manager or Karbon?
A separate CRM earns its place when enquiry tracking, proposals or follow-up remain uncovered. First test whether the existing system can show the latest conversation, next action and responsible person.
Does Financial Cents connect directly to Xero?
Financial Cents' help documentation, as at November 2026, describes a Zapier connection that creates a Financial Cents client after a new client is created in Xero. Zapier access is listed as a Scale-plan feature.
Which bookkeeping CRM options publish prices in AUD?
Xero Practice Management and FYI publish AUD figures as at November 2026. Karbon has an AUD selector, but I could not verify an AUD amount. Several other tools publish USD prices.
What should a BAS agent check before using a cloud CRM?
Read the TPB's confidentiality and cloud-computing guidance and check with the TPB or an adviser. Practical questions include where data is stored, who can access it and what the engagement letter tells clients.
