I'd start with the practice software you already have. Check Xero's included option first if your partner level qualifies, look at MYOB for a multi-office MYOB firm, and compare Karbon with FYI when email or document handling causes the hold-ups. Is Xero Practice Manager Enough, or Should a Firm Move to Karbon or Fyi?
Xero: Test the Included Option First
Xero now markets XPM as Xero Partner Hub plus Practice Management. The software supports job assignment, milestones, time capture and progress or final invoices. Xero Tax and Xero Workpapers are included at no extra cost.
For a qualifying partner, I'd test those functions before paying for a replacement. New and Bronze partners get a 14-day trial before the $163.90 monthly subscription for up to 10 users, including GST, as at 8 October 2026. The offer comes through the partner program, so I would not assume the same fit for a MYOB-only practice.
Karbon: Compare the Email and Workflow Layer
Karbon connects email and workflow, which makes it worth comparing when the inbox is where jobs lose direction. Ask the demonstrator to take a real client email through assignment, follow-up and completion.
Check the tier before comparing prices. Business and Enterprise add task automation and automatic client reminders compared with Team, as at 8 October 2026. Karbon's pricing page has a currency selector, so switch it to AUD and confirm the figure for your tier before comparing.
Fyi: Compare Document Handling Around Xpm
FYI lists two-way sync with Xero Practice Manager Jobs and automates the creation and filing of client emails and documents. That makes FYI a candidate when you want to keep XPM and improve the work around its jobs.
Pro and Elite include custom process automations; Intermediate provides a selection of sample automations. I'd ask FYI to demonstrate the exact process you need before deciding which tier to buy.
What About MYOB, Financial Cents and Senta?
MYOB positions Practice Management for multiple teams, offices, service lines and complex client portfolios. Its listed functions include time and expense capture, WIP, collaboration and progress tracking. For a two-person bookkeeping practice, I'd ask how much setup and administration those functions require.
Financial Cents offers a single-user Solo plan, making it worth a look for an owner working alone. But automatic client-task follow-ups, task dependencies and automatic work creation sit on Scale. Do not assume the cheapest plan covers the chasing process you want.
Financial Cents' pricing page lists QuickBooks Online, email, storage and US tax software integrations. Xero is not listed on that page. Ask about your required Xero connection rather than treating that omission as proof that no connection exists.
Senta combines customisable workflows, automated reminders and a secure document portal with unlimited e-signing. Its pricing page says there are no record limits or per-module charges. Switch the country flag to Australia and confirm the local price; Senta's pages I checked do not mention ATO-specific features.
How Much Does Accounting Workflow Software Cost in Australia?
As at 8 October 2026, FYI's five-user minimum makes the monthly subscription floor A$150 for Intermediate, A$250 for Pro or A$350 for Elite, excluding GST. Migration, onboarding and consulting are quoted separately. Those totals are calculated from the published per-user prices.
Financial Cents' monthly billing requires at least five users, and monthly billing still carries a 12-month agreement. Annual billing therefore needs comparing with monthly billing on both payment timing and user count. Keep the US$ figures separate from AUD quotes.
I would compare the subscription, required tier, minimum seats and setup quote together. For Karbon, MYOB, Senta and Ignition, get the missing Australian figures confirmed in writing before treating the shortlist as a cost comparison.
Do Accountants Need a Separate CRM, or Can Ignition Cover the Front End?
Ignition covers agreements and billing, with Deals Pipeline and Online Forms presented as add-ons. The pipeline supports creating and tracking leads and sending proposals. The Australian plan prices were not readable as at 8 October 2026.
Ignition publishes integrations with XPM, Karbon, Financial Cents and MYOB. Its XPM integration can create jobs and sync client data; accepted proposals can create Financial Cents projects.
I'd test that front-end coverage before buying a separate CRM. If your requirement is proposals, engagements and payment collection, Ignition belongs in the comparison. Pair it with a practice workflow tool for delivery, and check the add-on costs.
What Can Practice Software Automate, and What Still Falls Between Tools?
Native automation varies by product and tier. Examples include Karbon Business client reminders, Financial Cents Scale client-task follow-ups and FYI Pro custom process automations.
The workflow I would investigate next is more specific: identify what a client has already supplied, prepare a chase for the missing documents, route a reply to the right job and flag work that remains stuck. Treat that as a design brief, then test what the existing software can already do.

When Should a Practice Build Automation Around Its Existing Software?
I'd consider a build when the practice wants to keep its job system, but a recurring handoff still needs context and human judgement.
