Best Free CRM for Small Business (2026)

Key Takeaways

  • HubSpot, Zoho CRM, Bigin by Zoho, Capsule and Bitrix24 offer free CRM plans as at October 2026; the right choice depends on users, record limits and the work left to do manually.
  • Zoho CRM Free suits a team of up to three, with 5,000 records and five workflow automations as at October 2026.
  • Bigin by Zoho suits a sole trader with one pipeline, but its October 2026 free allowance of 500 records counts activities and notes as well as contacts.
  • Bigin Express has the lowest verified paid starting price in this comparison: US$7 per user per month billed yearly, published in USD on its site as at October 2026.
  • Pipedrive and monday CRM offer trials rather than ongoing free CRM plans as at October 2026.

I'd start with Zoho CRM for three people, Bigin for a sole trader, and Capsule for two people who want a small contact-and-opportunity list. HubSpot deserves a look if you expect to buy its wider tools later. The deciding question is who will keep the records current. CRM automation helps connect that upkeep to the work already happening.

Which Crms Have a Genuinely Free Plan?

These are tools you buy or use directly. I checked each free plan against the vendor's own pricing page on 20 October 2026.

ToolWhat It DoesBest ForPricing As PublishedAvailable In Australia
HubSpotContacts, deals and email toolsA small team considering HubSpot's wider toolsFree tools; paid plans priced per seatSold online; free-only accounts hosted in the US

Paid figures above were published in USD on the vendors' sites as at October 2026. Check the AUD price and GST at checkout. The table below shows the free allowances from the same October check.

Check HubSpot's current free allowance for users and contacts before importing your customer list.

A contact cap and a record cap mean different things. Bigin counts rows across pipelines, contacts, activities and notes. A customer with several notes and activities therefore uses more than one record. Capsule's smaller allowance is expressed as contacts.

Is HubSpot Free or Zoho Free Better for Two or Three People?

For three people, I'd start with Zoho's published three-user free edition. The October 2026 allowance also gives you 5,000 records and five workflow automations. Those are useful limits to assess before committing.

For two people, I'd compare the actual workflow. HubSpot offers free CRM tools with premium editions for more advanced features. Zoho gives a clearly published free allowance for a small team. List the fields, tasks and follow-ups you need, then test those exact jobs.

Hosting may settle the choice. HubSpot says free-only customers are assigned a US data centre. Zoho lists Sydney and Melbourne data centres, but that does not establish where a particular account will sit. My Zoho CRM versus HubSpot comparison covers the broader decision.

What Do Free CRM Plans Leave Out?

Automation is the first allowance I'd inspect. As at October 2026, Bigin Free includes three automations and Zoho CRM Free includes five workflow automations. Write down each trigger and action you need before deciding those allowances are enough.

For a service business, that list might include assigning an enquiry, creating a follow-up task, flagging a quiet quote and updating a deal stage.

Connections need the same scrutiny. Capsule lists Xero among its premium integrations; don't assume the free plan includes it. Zoho's pricing page lists free-edition API access with 5,000 calls a day as at October 2026. API access still needs a workable connection for your particular task.

Branding and hosting also belong on the checklist. Confirm branding on every customer-facing form, email or booking page you intend to use. Australian availability does not establish Australian hosting: HubSpot publishes a specific US location for free-only accounts, while Zoho's Australian data-centre listing needs account-level confirmation.

Which Crms Only Offer a Trial, and What Happens When It Ends?

Pipedrive and monday CRM belong on a paid shortlist. Neither offers an ongoing free CRM plan as at October 2026.

  • Pipedrive: its trial-expiry guidance says account access is restricted when the trial ends and existing data is deleted shortly afterwards. Export before expiry if you will not continue. The support page does not state the trial length.
  • monday CRM: its pricing page offers a 14-day trial and says paid plans start from three users, as at October 2026. Confirm retention and export arrangements before relying on the account.

I'd trial either with a small, exportable sample first. For Pipedrive's paid structure, see Pipedrive costs in Australia.

What Is the Cheapest Paid CRM When Free Runs Out?

Bigin Express has the lowest verified paid starting price in this shortlist. Bigin published US$7 per user per month billed yearly, or US$9 billed monthly, on its site as at October 2026. I couldn't confirm a current paid starting price for HubSpot, Zoho CRM, Capsule, Pipedrive or monday CRM, so check those pages directly.

Bitrix24 Basic was published at US$49 per organisation per month billed annually, or US$69 billed monthly, including five users, as at October 2026. That's a different charging model from a price per user.

Australian prices cannot be compared like for like from these figures. The checked pages showed USD or EUR rather than AUD. Annual billing, monthly billing, included seats, minimum seats and promotional offers also change the comparison.

Ask for the total for your actual team, billing term, required features and GST. I wouldn't convert a US headline price and call that an Australian quote. For HubSpot, check my HubSpot cost guide for Australia and HubSpot's current checkout before you budget.

When Does a Free CRM Stop Being Enough?

I'd move beyond free when a specific limit interrupts a necessary job. Paying for a feature nobody uses is wasteful. So is keeping a free account that makes the owner maintain a second list of overdue follow-ups.

  • Another employee needs access beyond the user allowance.
  • Useful customer history is approaching the contact or record cap.
  • A required follow-up needs automation beyond the plan's allowance.
  • A necessary connection or hosting arrangement requires another plan.

Fix ownership before buying more software. Every open enquiry needs someone responsible for the next action. My small business CRM implementation guide covers that setup; the broader Australian CRM comparison covers options beyond this free-plan shortlist.

What Should You Automate Around a Free or Cheap CRM?

I'd start with the gap between an enquiry arriving and someone recording what happens next. A sensible design follows five steps:

  1. Name the trigger: a new enquiry arrives or a deal goes quiet.
  2. Gather useful context: the enquiry, previous messages and current stage.
  3. Prepare the action: draft a follow-up or create a task.
  4. Keep approval where needed: a person checks anything sensitive or uncertain.
  5. Record the outcome: update the CRM so the next action reflects what happened.

Each step depends on the selected plan's usable connections. Where there is no usable connection, that step stays manual.

Systems Built Around Your Workflow: Truespeak

For an Australian service business that wants follow-up and CRM upkeep designed, built and then run around whichever CRM it picks, Truespeak is built for exactly that. Truespeak does not sell off-the-shelf software; it works with the tools a business already uses.

I'm Sonny Hovsepian, Truespeak's Sydney-based founder. Clients work directly with me. Truespeak built Agent Helper, which scored 2,883 contacts in Richardson & Wrench Campbelltown's CRM and turned them into ranked call cards with the reason to call. A person approves anything sensitive.

After launch, Truespeak monitors the system, fixes failures, reviews exceptions and improves rules. See Truespeak's CRM automation service, or start with a discovery call to work through where your records and follow-ups get stuck.

Frequently Asked Questions

Which free CRM suits a three-person business?

Zoho CRM Free supports three users, 5,000 records and five workflow automations as at October 2026. Start there and test the actual enquiry-to-follow-up process.

Is Bigin's 500-record limit the same as 500 contacts?

No. Bigin counts rows across pipelines, contacts, activities and notes as records. The October 2026 free allowance can fill before you reach 500 contacts.

Does a free CRM include Australian hosting?

HubSpot says free-only accounts are hosted in the US. Zoho lists Australian data centres, but confirm your account's location. Bigin, Capsule and Bitrix24 do not publish Australian hosting as at October 2026.

Can Truespeak keep a free CRM up to date?

Truespeak designs, builds and runs CRM upkeep around a business's workflow. The scope depends on usable connections; any step without one stays manual.
