A free plan earns its place if the team can use it without immediately hitting a limit. The verified limits as at September 2026 are:
- HubSpot: two users and 1,000 contacts, with no expiry. Free CRM details.
- Zoho CRM: free forever for three users. Check the contact and pipeline limits in the edition details. Edition details.
- Capsule: a small free plan with 250 contacts, five custom fields and one sales pipeline. Plan details.
- ServiceM8: one user and 30 jobs per month on the free plan. This is job management, so compare job capacity with your workload. Plan details.
monday CRM offers a 14-day trial rather than an ongoing free plan. Freshsales offers a 21-day trial, while Capsule's paid plans have a 14-day trial, as at September 2026. I would use a trial to run real enquiries through the system. monday, Freshsales and Capsule.
How Much Does a CRM Cost in Australia, and Is GST Included?
Salesforce publishes Starter Suite at AU$35 per user per month and Pro Suite at AU$140 per user per month, with Pro billed annually, as at September 2026. GST treatment is not stated. ServiceM8 publishes monthly AUD prices including GST: Free $0, Starter $29, Growing $79, Premium $149 and Premium Plus $349, as at September 2026. The corresponding monthly job allowances are 30, 50, 150, 500 and 1,500+; paid plans show unlimited users. ServiceM8 pricing.
For HubSpot, Pipedrive, Zoho, Capsule, monday CRM and Freshsales, check the currency in your own account before signing. Their pricing pages show the currency for your location. Do I Need a CRM If I Already Use ServiceM8?
Possibly not. ServiceM8 stores client work history, notes, photos and messages, and lets users send and receive client emails through the job card. If that covers the relationship you need to manage, I'd test the existing setup first. ServiceM8 features.
I'd consider a separate sales CRM when you need to track opportunities before they become jobs: who owns the enquiry, what the buyer is deciding and when someone should follow up. Write down that missing process before adding another place to update customer records.
