A custom AI agent is software configured around a particular job: the information to use, the actions allowed and the points needing approval. You can start with a platform agent, build your own, or pay someone to build and run one. I'd choose the route by the work you need done, then check the bill and who looks after failures.

What Is a Custom AI Agent, and How Is It Different from Built-in Agents?

For buying purposes, I use “custom” to mean the agent follows your workflow and rules. That need not mean commissioning software from scratch.

HubSpot Breeze illustrates the distinction. Its Customer Agent answers questions and resolves support tickets; its Prospecting Agent researches accounts, finds contacts and drafts outreach. Its Agent Builder lets businesses build custom agents and workflows using CRM data.

I'd first check whether an existing agent can handle the job with sensible configuration. Commissioning becomes worth considering when the work needs your own approval rules, context from several tools or someone responsible for keeping the system running.

You can test some tools before commissioning anything. Zapier Agents has a free tier with 400 activities a month, as at September 2026. That gives you a starting allowance; it does not establish what your production workflow will cost.

These are prices published on their sites as at September 2026, not quotes for the same agent. IOTAI's starting figure is for workflow automation; Team 400's is for a focused AI package. I'd use them to shortlist suppliers, not calculate an average.

The usage meter matters too. HubSpot custom agents consume credits when run; Zapier publishes activity allowances; n8n prices plans around workflow executions. Those units are not interchangeable. Request an estimate based on your expected workload, including retries and review steps.

Should You Switch an Agent on, Build It Yourself or Commission One?

I'd start with an unanswered enquiry or a CRM follow-up that someone keeps postponing. Write down the job before picking the platform.

  1. Name the trigger. Specify exactly what starts the work.
  2. Gather useful context. Identify the records needed for the next action.
  3. Define the action. Separate preparing a draft from sending or changing something.
  4. Protect approval. Name the person who checks sensitive or uncertain actions.
  5. Record the outcome. Decide where success, failure and exceptions are logged.

Switch on a platform agent when its available behaviour fits that brief. Build it yourself when someone in the business can own configuration, testing and upkeep. What Are the Red Flags When Commissioning an AI Agent?

“Set and forget” is one. The OAIC says AI product due diligence should not amount to a “set and forget” approach. Its guidance includes human oversight and understanding who can access personal information.

  • No clear data answer: ask what information leaves your systems, where it goes and who can access it.
  • No approval boundary: ask which actions require a person, and how an uncertain case stops.
  • No operating owner: ask who reviews exceptions, fixes failures and changes rules after launch.
