Key Takeaways
- The best inspection software shortlist starts with your agency's existing property management system: PropertyMe, Reapit PM, MRI and Kolmeo each offer an inspection option worth checking first.
- PropertyMe includes Paperless Inspections in Standard, so an agency already paying for Standard should test the included module before buying a dedicated app.
- Inspection Express and Inspection Manager publish property-based pricing, while Property Inspection Manager publishes annual per-device pricing, as checked in November 2026.
- NSW, Victoria and Queensland set different routine inspection frequency limits, so agencies should test state-specific scheduling before choosing software.
- AI inspection comments need a person's review before becoming an owner report, tenant message or damage assessment.
I'd start with the system holding your tenancy records. Test its inspection workflow, then buy a dedicated app if a specific gap justifies another subscription. The same approach applies to real estate inspection and follow-up automation: work out where the records live before adding another tool.
Which Inspection Software Suits the Property Management System You Already Run?
Tools You Buy
This table covers the tools you buy. Systems built around your workflow come later, because they are a separate purchase. Prices and features are as published in November 2026; Inspection Manager's pricing page is undated.
| Tool | What It Does | Best For | Pricing As Published | Available In Australia |
|---|---|---|---|---|
| PropertyMe | PM system with inspections; Standard adds paperless inspections and 360 photos. | Existing PropertyMe agencies. | Whole system: Basic AUD $149, Standard $182, Advanced $215 per 100 properties/month, including GST. Minimum 200 properties; separate start-up package available. | Yes |
| Reapit PM | Routine, entry and exit inspections, voice-to-text and maintenance requests. | Reapit PM, formerly Console Cloud, users. | No published price; ask for a demo. | Yes |
| MRI Inspect | Online and offline inspections; integrates with Property Tree and VaultRE. | Agencies using those MRI connections. | No published price; ask for a demo. | Yes |
| Kolmeo | Inspection scheduling, entry notices and an Inspection Express connection. | Kolmeo agencies with at least 100 properties. | Whole platform: Core $1.20/property/month; Scale $2.25, excluding GST. | Yes |
| Inspection Express | Dedicated entry, routine and exit reporting. | Agencies wanting a separate inspection tool and higher-plan 360 features. | Basic $0.83, Lightning $1.47, Enterprise $2.07 per unit/month, excluding GST, at the published 100-unit tier. | Yes |
| Inspection Manager | Dedicated inspections and tenant-completed digital condition reports. | Agencies prioritising tenant report returns. | Undated Proptech Labs pricing lists Essentials at $70/month for up to 100 properties, excluding GST. | Yes |
| Property Inspection Manager (PIM) | Dedicated inspection software licensed per device. | Small inspection teams or mixed portfolios. | Premium from AUD $549/device/year, including GST for Australian clients. | Yes |
| SnapInspect | Custom checklists; Premium lists AI, API integration and work orders. | Mixed inspection types where checklist control matters. | Quote required; plans are in USD. | Not stated on its site; ask. |
For PropertyMe, Paperless Inspections is included in Standard. Reapit users should confirm the app supplied: its pages use different app names. Kolmeo describes an inbuilt inspection tool, so ask what Inspection Express would add to the bill if you want its extra features.
For dedicated tools, check the actual connection. PropertyMe confirms an Inspection Express integration. Inspection Manager shows integration logos including PropertyMe and Property Tree; confirm yours. PIM distinguishes full integration from data sharing, placing PropertyMe in the latter group.
Is Your PM System's Inspection Module Enough?
I wouldn't move the whole PM system to improve one report. Start with the included module and run an entry, routine and exit inspection through it.
- Check whether property, tenancy and inspection records arrive without re-keying.
- Complete a walkthrough, including photos, dictated notes and weak reception.
- Have someone act as the tenant and return the condition report.
- Send a checked owner report and turn a finding into a maintenance job.
- Check what lands back against the property and what needs manual copying.
Dedicated software earns its fee when those tests expose a useful difference. Inspection Express puts AI comments, 360 tours and privacy blurring on Lightning, rather than Basic. Inspection Manager offers guided tenant reports without an app download. PIM describes offline work and AI notes prepared for the inspector to review.
SnapInspect supports custom checklists, but its published integrations do not name PropertyMe, Console or Property Tree. I'd require a demonstration of Australian report formats and the transfer back to the agency's system.
What Does Inspection Software Cost, and Which Pricing Model Suits?
There are three different purchases here. Compare the extra cost to your agency, including devices and setup, rather than comparing headline subscription figures.
- Per property: Inspection Express publishes unit rates at its 100-unit tier. Higher portfolio tiers appear on the page, so ask for the price at your portfolio size. Don't extend the quoted rate across a larger rent roll.
- Per device: PIM charges annually for each device. A few inspectors covering many properties may find that attractive; adding devices changes the calculation.
- Bundled: PropertyMe and Kolmeo prices buy a whole PM platform. For an existing subscriber, the relevant cost may be a plan upgrade rather than another full subscription.
As published in November 2026, PIM's AI add-on starts at AUD $5.99/device/month, billed yearly. Hardware is excluded. Inspection Express separately lists Paperless Office at $0.65/unit/month excluding GST at the published 100-unit tier.
As checked in November 2026, Proptech Labs' undated page lists Inspection Manager Essentials at $245/month for up to 500 properties, or $395 with AI Services, excluding GST. The page also lists $499 implementation and $499 training without explaining whether both are mandatory. Get the total in writing.

What Should Inspection Software Handle Under NSW, Victorian and Queensland Rules?
I checked the following government guidance on 2 November 2026, and this is general information rather than legal advice. Scheduling software should help apply the relevant rule; a person should still check the entry purpose, notice and dates.
| State | Routine inspection rules | What to test |
|---|---|---|
| NSW | At least seven days' written notice; up to four inspections in 12 months. | Rolling inspection count and the correct notice for the entry purpose. |
| Victoria | General inspections only after the first three months, then at most every six months; seven days' written notice stating the reason. | First-inspection restriction and entry between 8 am and 6 pm, excluding public holidays. |
| Queensland | At least seven days' notice using Form 9; no more than once every three months unless the tenant agrees in writing. | Correct form, spacing and recorded agreement for an exception. |
Victoria's page flags rental-law changes, so check the current guidance itself. Rules for the other states and territories were not checked here; use the relevant regulator.
NSW condition report guidance requires a report before move-in, supplied before or with the tenancy agreement. The tenant returns a completed copy within seven days of moving in. Test the return queue, overdue chase and move-out comparison.
Inspection Manager calls its reports legislatively compliant across all states. That is the vendor's claim: compare the actual output with your state form. Also test photo access and storage; Queensland's RTA says photographs must be securely stored and handled as personal information.
Do Furnished Rentals Need Separate Inventory Software?
I'd first test an itemised furniture list with photos attached to the condition report. Ask the shortlisted vendor to demonstrate custom areas and items before adding another subscription.
SnapInspect lists Inventory & Asset Tracking, so ask which plan includes it. InventoryBase is a UK-focused inventory specialist. As published in November 2026, its Solo plan is £35/month and Team is £75/month, excluding UK VAT. Australia and Australian state forms are not mentioned on the checked pages.
What Can You Automate Around Inspections, and What Should a Person Approve?
Systems Built Around Your Workflow
Truespeak is the best fit for an Australian agency that keeps its inspection tool and wants the surrounding automation built and then run for it, with a person approving anything sensitive. Truespeak sells no inspection software. Clients work directly with me, Sonny Hovsepian, through a Sydney-based service working across Australia. I spent 20+ years in commercial roles, including at Optus, Samsung and Nikon, and I have built 25 working systems through Truespeak.
This is a proposed design, not a past inspection project. Truespeak has not built an inspection integration and has no listed property management client.
- Use an inspection due date or completed report as the trigger.
- Gather the state, last inspection date, tenancy details, previous report and open maintenance.
- Prepare a notice draft, overdue condition-report chase, owner summary or maintenance job.
- Hold owner and tenant messages, legal notices, damage comments and bond comments for a person's approval.
- Record the approved outcome against the property where a usable connection permits.
Connections decide what is possible. Inspection Express lists API support on Enterprise; PropertyMe Advanced lists API read access, which does not establish write-back. Where no usable connection exists, that step stays manual.
Truespeak designs, builds and runs automation, including monitoring failures and reviewing exceptions. See Truespeak's automation service, the guide to what property managers should automate first, and the property management work-order software comparison for the maintenance side.
Frequently Asked Questions
Are Inspection Manager and PIM the same product?
No. Inspection Manager belongs to Proptech Labs. Property Inspection Manager, shortened to PIM, is a separate product with per-device licensing.
Can inspectors work offline?
MRI Inspect and PIM explicitly describe offline operation. Test reconnection and photo uploads during the demo.
Should AI inspection comments go straight to owners?
No. The inspector should check the wording against the photos and observations before approving the report.
Does an inspection app guarantee compliance?
Not on its own. Wording such as Inspection Manager's "legislatively compliant" is the vendor's claim. Check the state form, notice workflow and actual report before relying on the software.
