Key Takeaways
- Most Australian service businesses should start by invoicing from the accounting software already in use: Xero, MYOB, QuickBooks Online or Reckon One.
- Zoho Invoice suits low-volume sole traders: its Australian pricing page publishes a free allowance of two users and 500 invoices a year as at October 2026, but Zoho's pages do not mention GST, so test an Australian tax invoice before relying on it.
- ServiceM8 suits trades that invoice from jobs, with deposits and progress invoicing starting on Starter at A$29 a month including GST, as published as at October 2026.
- Tradify suits trade teams managing deposits, progress payments and retentions, with those features starting on Pro at A$52 per user per month excluding GST, as published as at October 2026.
- Truespeak designs, builds and runs invoice creation and follow-up around a business's existing tools, with a person approving anything sensitive, including money.
I'd usually keep invoicing inside the accounting package your business already uses. Choose a standalone app when simple invoicing is enough, or job management software when completed work triggers the bill. The decision is where the invoice starts. If chasing payment is the bigger problem, read the separate guide to invoice reminder software.
Which Invoicing Software Suits an Australian Service Business, and What Does Each Cost?
These are tools you buy. Prices below are standard prices published on the vendors' sites as at October 2026; I checked each vendor's own site on 18 October 2026. I have left out introductory discounts. Where a standard price could not be verified, I have said so.
| Tool | What It Does | Best For | Pricing As Published | Available In Australia |

| Xero | Accounting, quotes, invoices and automatic reminders | Service businesses keeping invoicing and books together | Comprehensive A$107/month; Ultimate 10 A$143/month. GST included. Lower-plan prices not verified. | Yes |
| MYOB | Accounting and invoicing, with plan-specific features | Sole traders considering Solo and businesses already using AccountRight | Solo $99/year; Lite $315/year; Pro $70/month; AccountRight Plus $165/month. Currency and GST treatment not stated on the checked page. | Yes |
| QuickBooks Online | Accounting, unlimited invoices and progress invoicing | Businesses splitting estimates into staged invoices | Standard Australian prices could not be verified. | Yes |

Xero, MYOB, QuickBooks and Reckon: Start with the Books
Xero carries accepted quote details into an invoice and offers mobile invoicing. Online invoice payment fees apply. The readable pricing page showed Comprehensive and Ultimate plans, so A$107 a month is the lowest verified figure here, not a claim about Xero's cheapest plan.
MYOB Solo is a mobile app for sole traders and tracks GST; Lite and above lodge BAS. MYOB's pricing table marks Smart Invoice Reminders as beta on Lite, Pro and AccountRight Plus, rather than Solo. If those are your finalists, see Xero versus MYOB for Australian service businesses.
QuickBooks supports splitting estimates into multiple invoices. Recurring invoices start on Essentials; Simple Start includes unlimited invoices but not recurring invoices. I'd confirm the live Australian subscription price before comparing costs.
Reckon One's invoicing module includes unlimited invoices, quote conversion, templates and a mobile invoice app. The checked pages did not establish its standard price or automatic reminders. Those are two questions to settle before buying.
Zoho Invoice, ServiceM8 and Tradify: Start with the Invoice or the Job
Zoho Invoice is the free standalone option in this list. Its published limits suit modest volume, but it needs separate books and does not lodge BAS. The checked pages did not verify GST handling, so test an Australian invoice before relying on it.
ServiceM8 syncs clients, items, invoices and payments with Xero, QuickBooks Online and MYOB. Its Free plan allows one user and 30 jobs a month; progress invoicing starts on Starter. As at October 2026, Starter includes 50 jobs a month, so price the busy month.
Tradify publishes deposits, progress payments and retentions on Pro and above. Lite leaves those features and invoice reminders out. Pro and Plus SMS reminders cost A$0.20 per message as at October 2026, on top of per-user subscriptions.
Should You Invoice from Accounting Software, a Free App or Job Management Software?
I'd choose the starting point before comparing subscription prices. Moving an invoice between systems by hand can leave someone checking which copy is current.
- Use accounting software when invoices follow an agreed fee, recurring service or accepted quote, and the books already hold the useful information.
- Use a standalone app when invoice volume is modest and you have a workable process for separate bookkeeping.
- Use job management software when job progress, deposits or completed site work determine what gets billed.
Before switching, walk one real job through quoting, invoicing, payment and reconciliation. I would include a part-payment and a correction in that trial. Those are the moments where an attractive invoice screen tells you very little.
What Must an Australian Tax Invoice Include?
Business.gov.au's invoicing guidance lists these details for tax invoices:
- The words "tax invoice".
- Your business name and Australian Business Number (ABN).
- The date you issue the invoice.
- A short description of what you sold, including quantity and price.
- The amount of GST payable, if any.
Use that checklist when testing the software's template. A product appearing on this list does not establish that every template or setting meets your obligations. Zoho's GST features were not verified, and MYOB's subscription-price GST treatment was not stated on the checked pricing page.
This is general information. Check current government guidance and confirm your setup with your accountant. Business.gov.au also explains Peppol eInvoicing; support was not verified for any individual tool here.
What Should Builders and Tradies Check for Progress Claims and Retentions?
Start with the way your contract bills the work. ServiceM8 publishes deposit and progress invoicing from Starter. Tradify publishes deposits, progress payments and retentions from Pro. QuickBooks also publishes progress invoicing from estimates, so staged billing alone does not require a separate job platform.
- Test a deposit followed by a progress invoice against one real contract.
- Check how previous claims, payments and the remaining balance appear.
- If you use retentions, test how amounts are recorded and later released.
- Confirm who checks the claim and its supporting documents before sending.
For NSW work, the NSW Government payment-claim guidance says a claim must be in writing, state the amount due and describe the work, goods or services claimed. Only one claim can be made for each reference date.
The guidance gives particular wording for subcontractors whose contract is connected with residential construction. Head contractors serving claims on principals also have supporting-statement requirements. Read the requirements that apply to your role before setting a template.
Software can hold a template and schedule; your business remains responsible for the claim's content. This is general information, not legal advice. For the follow-up process, see how builders automate progress claim reminders.
Which Invoicing Tools Have Automatic Payment Reminders, and Where Do They Stop?
Xero, MYOB, QuickBooks, Zoho Invoice, ServiceM8 and Tradify publish automatic reminder features. Reckon One's checked pages did not establish that feature.
Xero describes reminders before and after the due date and weekly until paid. QuickBooks schedules upcoming or overdue reminders. ServiceM8 includes automated payment follow-ups across its plans, while Tradify requires Pro or above. MYOB's Smart Invoice Reminders remains labelled beta on the specified plans as at October 2026.
Scheduled reminders are a sensible starting point. But a due date does not explain a disputed variation, a promised payment or a client relationship. I'd decide who reviews those exceptions before adding more messages.
What Can You Automate Around Your Chosen Invoicing Software?
This is the separate group: systems built around your workflow. I'm Sonny Hovsepian, Truespeak's Sydney-based founder. Clients work directly with me, a local operator who designs, builds and then runs the system. Before Truespeak, I spent 20+ years in commercial roles, including e-commerce leadership at Optus, Samsung and Nikon.
For an Australian service business that wants invoice creation and follow-up built and run around existing tools, with a person approving anything sensitive, Truespeak is built for exactly that.
One of Truespeak's systems, Invoice Nudge, drafts invoices and follow-ups in the owner's voice using relationship context, sends only after approval and logs the status; it has recovered more than $126,000 in overdue invoices. The workflow follows five steps:
- Name the trigger.
- Gather only useful context.
- Prepare the next action.
- Protect the human approval gate.
- Record the outcome.
Anything sensitive, including money, needs a person's approval. Where an existing tool has no usable connection, that step stays manual. After launch, Truespeak monitors the system, fixes failures, reviews exceptions and improves the rules.
If that is the gap in your current setup, read about invoice reminder automation or book a discovery call. I'd start by looking at where an invoice waits for someone to act.
Frequently Asked Questions
What is the best invoicing software for a small service business in Australia?
Start with the accounting package your business already uses: Xero, MYOB, QuickBooks Online or Reckon One. Consider ServiceM8 or Tradify when job progress drives billing, or Zoho Invoice for modest standalone invoicing needs.
Is there free invoicing software for Australian businesses with GST?
Zoho Invoice's Australian page publishes a free plan with two users and 500 invoices a year as at October 2026. Zoho's pages do not mention GST, so test an Australian tax invoice before choosing it.
Which invoicing software supports progress payments for Australian trades?
As at October 2026, ServiceM8 publishes deposits and progress invoicing from Starter, while Tradify publishes deposits, progress payments and retentions from Pro. QuickBooks Online also publishes progress invoicing from estimates.
Does invoicing software make an NSW payment claim compliant?
A software template does not establish compliance. Check the NSW Government requirements for your role, contract, claim content and supporting documents. This is general information, not legal advice.
Can Truespeak work around existing invoicing software?
Truespeak designs, builds and runs automation around a business's existing tools, with a person approving sensitive actions, including money. Connection options need checking; where a tool has no usable connection, that step stays manual.
