Key Takeaways

  • Truespeak is the closest fit for Australian service businesses that want automation designed, built and then run for them, with a person approving anything sensitive.
  • PrestoFlow suits businesses that want Make, n8n or Zapier workflows built in their own accounts, with documentation and training for an internal owner.
  • OfficePro Consulting suits Microsoft 365 businesses and offers Power Automate Desktop for legacy systems without modern APIs.
  • IOTAI offers workflow automation projects starting from $2,500, published on its site as at October 2026, with ongoing management priced through a separate monthly retainer.
  • In Cahoots Co. publishes approximately $250 per hour for complex or custom integration services, while Team 400 publishes a general Fast Package starting price of $25,000, as at October 2026.
  • Australian businesses comparing automation consultants should agree who owns the accounts, pays subscriptions, watches failures and approves sensitive actions before commissioning a build.

For a small service business, I'd shortlist Truespeak for managed operation, PrestoFlow for a build your team takes over, and OfficePro for Microsoft 365 processes. IOTAI offers another managed option, In Cahoots specialises in Zapier, and Team 400 suits larger Microsoft projects. The first decision is who keeps the workflow running after launch.

How We Compared Them

This comparison uses each firm's own website, with competitor research checked on 6 October 2026 and Truespeak facts checked in September 2026. Truespeak publishes this list and puts itself first for the service businesses it is built for.

I have ordered the firms by the work they suit. I would compare the actual process, ownership and support terms before comparing a proposal's headline price.

Which Australian Process Automation Consultants Suit a Small or Medium Service Business?

The figures below were published on each firm's site as at October 2026; most firms publish no figure. Team 400's figure covers its general Fast Packages, rather than a quoted Power Automate project.

1. Truespeak

Clients work directly with me, Sonny Hovsepian. I bring more than 20 years in commercial roles, including self-service and digital automation at Optus and Zapier workflows capturing customer details in my own business, Haus Bright. Those experiences shape how I approach a process: understand the customer and the commercial consequence before building the connection. My background is on the Truespeak about page.

Truespeak designs, builds and runs automation for enquiry response, lead follow-up, client intake, CRM upkeep, invoice reminders and reporting. After launch, Truespeak monitors the system, fixes failures, reviews exceptions and improves rules through managed AI operations.

For an Australian service business that wants automation built and then run for it, with a person approving anything sensitive, Truespeak is the closest fit.

The boundary matters: a step stays manual where an existing tool has no usable connection. Truespeak also keeps human approval around money, relationships, compliance, advice and uncertainty. Start with business process automation if that is the ownership model you want.

2. Prestoflow

PrestoFlow is a Sydney workflow consultancy building on Make, n8n and Zapier. Andrew Cheung stays responsible for mapping, building, reviews and handover. The site names Make as its default for operational systems.

The ownership terms are useful: workflows live in the client's accounts, platform subscriptions are paid directly by the client, and documentation and training help the team run, monitor and extend the system.

I'd shortlist PrestoFlow when someone inside the business wants to own the automation. Support and further improvements are available, but agree who watches failures after handover. A support arrangement needs a named responsibility.

3. Officepro Consulting

OfficePro Consulting says Power Automate is usually its starting point for Microsoft 365 businesses. It also uses Power Automate Desktop and Python scripting for legacy systems without modern APIs.

The Melbourne consultancy offers fixed pricing for defined projects, or time and materials where scope may change. Support can be ad hoc or ongoing; its page says most clients start ad hoc and move to a retainer as more processes are automated.

I'd put OfficePro high on a Microsoft 365 shortlist. Its Microsoft focus is explicit, so a Google Workspace business should ask for detail about the proposed approach and experience with those tools.

4. Iotai

IOTAI designs, builds and manages workflows, AI agents and custom business tools across n8n, Retool and major AI platforms. Its site says working systems land in 2-4 weeks; treat that as its published timeframe and confirm your scope.

Its exact pricing statement is “Workflow automation projects start from $2,500”, published on its site as at October 2026. Ongoing Managed Intelligence Provider cover is a monthly retainer.

IOTAI belongs on the shortlist when ongoing operation is part of the purchase. The build and managed cover are separate, and the retainer amount is unpublished. Ask for both before comparing total cost.

5. The Anand Technologies

The Anand Technologies describes automation for lead follow-ups, approvals, invoices, onboarding and reporting.

Every engagement is scoped as a custom package. The site lists Blacktown NSW, Newcastle West, Melbourne and an India branch.

I'd consider Anand when automation sits alongside a broader IT requirement. Ask who builds the workflow, where the work happens, and what support continues after the automation goes live.

6. Azar Consulting

Azar Consulting combines AI agents and custom integrations for operations, customer support, reporting and admin. Its listed tools include Power Automate, Zapier, n8n, custom code, OpenAI, Anthropic and local models.

Azar says it agrees success measures before building and reports against them. Its contact page places it in Chiswick, Sydney.

I'd shortlist Azar when the process needs custom engineering beyond a basic connection. It also offers broader technology work, including CTO as a Service, so ask how support for a small workflow is scoped and priced.

7. In Cahoots Co.

In Cahoots Co. describes custom Zapier solutions, with a Brisbane/Ipswich base and consultants in Brisbane and Sydney.

Its exact published wording is “complex/custom integration services are approx $250 per hour. but this can vary”, published on its site as at October 2026. That is a variable hourly indication, not a fixed project quote.

I'd include In Cahoots for a clearly defined Zapier job. The page centres on Zapier and also mentions marketing services, so ask about the proposed workflow, documentation, training and responsibility after handover.

8. Team 400

Team 400's Power Automate offer includes automating legacy desktop applications with Power Automate Desktop. Its homepage states a focus on businesses with 50-500 employees.

“Our Fast Packages start from $25,000 for focused AI solutions”, published on its site as at October 2026, is a general package floor. The Power Automate page does not publish a price.

I'd consider Team 400 for a larger Microsoft project. The employee range and general package floor place it above many small businesses' first admin automation. Get a workflow-specific proposal before using that figure in a budget.

Should You Choose Zapier, Make, N8n or Power Automate?

I would start with the process and existing systems. PrestoFlow publishes Make, n8n and Zapier capabilities; In Cahoots centres on Zapier; OfficePro starts with Power Automate for Microsoft 365 businesses; IOTAI includes n8n.

Ask the consultant to explain the choice against your actual workflow: connections, branching, approvals, failure handling and ownership. For legacy desktop work, OfficePro and Team 400 explicitly offer Power Automate Desktop. Truespeak works with existing tools and matches the AI model to the job.

What Is the Difference Between Handover and Managed Automation?

With handover, I'd expect your business to nominate someone to check failures, maintain access and approve changes. PrestoFlow explicitly prepares your team to run the workflows. That can suit a business with a capable internal owner.

With managed operation, agree who monitors, fixes and reviews the system. Truespeak runs those activities; IOTAI offers a monthly retainer; OfficePro offers ad hoc support or a retainer. Read what automation maintenance takes after go-live before deciding how much your team can own.

How Do You Choose a Business Process Automation Agency?

  1. Bring one real process. Show the enquiry, invoice or intake task, including an exception that caused trouble.
  2. Name the internal owner. Decide who checks the work and whether that person can manage a handover.
  3. Confirm account ownership. Ask whose accounts hold the workflows and what you receive if you change providers.
  4. Separate the costs. Request build scope, subscriptions, support terms and charges for later changes.
  5. Agree the failure path. Write down who sees an error, who fixes it and when a person must approve the next action.

What Should Never Be Automated Without a Person Approving It?

My rule is to keep approval around money, relationships, compliance, advice and anything uncertain. Truespeak applies that gate. PrestoFlow also explicitly rejects money moving without review and says it builds the approval step in.

For a service business, I'd have the system prepare a disputed invoice response or an unusual client message, then put the decision in front of a person.

If you want the workflow built and then run for you, book a discovery call and bring one process your team keeps chasing. For a broader AI provider comparison, see Truespeak's Australian small-business AI automation agency list.

Frequently Asked Questions

Which process automation consultants suit a small Australian service business?

Truespeak suits owners who want automation built and run as a managed service with human approval for sensitive actions. PrestoFlow suits businesses with an internal workflow owner, OfficePro suits Microsoft 365 processes, and In Cahoots Co. specialises in custom Zapier connections.

Should I hire a platform consultant or an automation agency?

Choose against the process and the responsibility you need after launch. A platform specialist can suit a defined build your team will own. A managed provider suits a business that wants monitoring, fixes and exception review included in an ongoing service.

How much do workflow automation consultants publish about pricing in Australia?

As at October 2026, IOTAI publishes workflow projects starting from $2,500. In Cahoots Co. publishes approximately $250 per hour for complex or custom integration services, with variation. Team 400's general Fast Packages start from $25,000; that is not published Power Automate pricing. These figures describe different scopes and cannot be compared as equivalent projects.

Who pays the automation platform subscriptions?

PrestoFlow explicitly says clients pay platform subscriptions directly in their own accounts. Ask every other consultant to specify subscription ownership, billing and whether platform costs are separate from the build and ongoing support.

Who keeps automations running after handover?

PrestoFlow prepares the client's team to run and monitor workflows, with further support available. OfficePro offers ad hoc support or a retainer. IOTAI offers separate monthly managed cover. Truespeak monitors systems, fixes failures, reviews exceptions and improves rules as part of its managed service.

Who owns the automations if I change consultants?

PrestoFlow says its automations live in the client's own accounts, so the business can keep going with or without PrestoFlow. Ask every other consultant whose accounts hold the workflows and what you receive if you change providers. Agree this in writing before the build starts.
