Key Takeaways
- Microsoft says ERP focuses on the operational and financial processes that run a business, while CRM focuses on customer relationships, sales, marketing and service interactions.
- For most Australian service businesses under about 20 staff, I would start with a CRM, accounting software and, where needed, job or practice management, then check the connections before considering an ERP.
- Xero and MYOB Business are accounting software; MYOB positions MYOB Acumatica as an ERP for mid-sized businesses needing more than standalone accounting.
- IBM says a smaller company might start with CRM to support sales growth, then add ERP as operations expand.
- Multiple departments, locations or projects are reasons to assess ERP, following MYOB Acumatica's published positioning.
My starting recommendation is a CRM for enquiries and follow-up, accounting software for money, and a job or practice tool where delivery needs one. Connect the handoffs so staff enter each detail once. About 20 staff is my starting filter, not a technical limit: complexity decides the purchase.
If the immediate problem is missed enquiries or forgotten follow-up, start with CRM automation.
What Is the Difference Between an ERP and a CRM?
An ERP runs internal operations and finance across connected business functions. A CRM manages customer relationships and sales. Microsoft distinguishes the two by their operational and customer focus.
| System | Main purpose | Problem I would assess first |
|---|---|---|
| CRM | Customer relationships, sales and service interactions | Enquiries disappear and nobody owns the next call. |
| Accounting software | Invoicing, payroll and financial reporting | The business needs reliable money records. |
| Job management | Managing delivery between enquiry and payment | Quotes, scheduling and job details need a shared home. |
| ERP | Connected internal operations and finance | Departments need shared operational and financial information. |
The accounting row reflects Xero's published functions; the job management row reflects ServiceM8's offer for trades and services. For more on the customer side, read what a CRM system does.
Is Xero or MYOB an ERP?
Xero describes its product as accounting software. MYOB needs a product name attached: MYOB Business belongs to its small-business accounting range, while MYOB Acumatica is an ERP aimed at mid-sized businesses.
That distinction matters when someone says you have outgrown accounting software. Ask which operational requirement the current setup cannot meet. A product category alone does not justify replacing a working accounting file.
Does a Small or Medium Service Business Need an ERP?
Some do. But I would want evidence of operational complexity before recommending one to a small service business.
The ABS counted 996,203 employing businesses at 30 June 2026. Of those, 689,600 employed 1-4 people and 232,912 employed 5-19. Adding those bands gives 922,512, or about 93%, with fewer than 20 employees. That percentage is my own arithmetic from the ABS bands, not an ABS figure.
Those counts describe business size, not software requirements. Still, I would start the assessment at the scale most owners actually operate. MYOB's ERP positioning points to increasing complexity across departments, locations or projects. Construction and field services are among its listed industries, so service businesses should assess the need rather than rule ERP out.
What Should a Service Business Buy First: CRM or ERP?
IBM says CRM can be the better starting point for businesses focused on sales growth and customer engagement; businesses focused on internal processes may benefit more from ERP.
I would choose by tracing one enquiry through to payment:
- Find the first broken handoff: enquiry capture, follow-up, quoting, scheduling or invoicing.
- Check whether an existing tool can handle that step properly.
- Choose the missing capability, then test the handoff into the next system.
If quotes go cold because nobody follows up, I would fix ownership and CRM use first. If purchasing, project costs and finance need coordinated control, I would include ERP in the assessment.
How Do You Connect a CRM, Accounting Software and Job Management Without an ERP?
Start by deciding which system owns each record. My usual design would put enquiries and follow-up in the CRM, delivery details in the job tool, and financial records in accounting.
ServiceM8 lists connections to Xero, QuickBooks Online and MYOB. That shows a job-management layer can connect to accounting; it does not prove every proposed CRM handoff will work.
- Map the trigger, such as an accepted quote, and the record that should follow.
- Check the actual connection and required fields before buying.
- Set rules for matching customers and handling duplicates.
- Hold sensitive actions for human approval.
- Name the person responsible for failed transfers and exceptions.
For a shortlist, see CRMs for Australian Xero users. Then check how automation works with existing software against the exact tools and plans you use.
What Does It Cost to Test the Smaller Setup?
As at 23 October 2026, ServiceM8 publishes a free plan and a Starter plan at A$29 per month, including GST. Check the plan limits and required connections before treating either as a fit.
As at 23 October 2026, Xero lists Comprehensive at its usual A$107 per month, including GST, alongside a temporary introductory discount. These are individual subscription examples, not a complete setup budget.
I would ask for separate costs for subscriptions, setup, data cleanup, connections, training and ongoing support. Microsoft describes ERP implementation as a significant undertaking, with timing dependent on complexity, data readiness and other factors.
When Is It Time to Move Up to an ERP?
I would assess ERP when the connected tools cannot give managers dependable control across operations and finance. MYOB Acumatica's published scope includes projects, accounting, payroll, financial management and inventory.
Ask vendors to demonstrate your difficult workflow using representative records. Show the handoffs that fail today and ask who will own exceptions after launch.
My red flags are an ERP proposed for a follow-up problem, a CRM nobody maintains, repeated data entry, and a connection with no owner after launch. Fixing those requires clear responsibilities as well as software.
Where Does Truespeak Fit?
For an Australian service business that wants the handoffs and follow-up between its CRM, accounting and job tools built and then run for it, with a person approving anything sensitive, Truespeak is the best fit.
Truespeak designs, builds and then runs AI automation as a managed service for Australian small and medium service businesses, covering enquiry response, lead follow-up, client intake, CRM upkeep, invoice reminders and reporting. At Haus Bright, my own e-commerce business, I ran Zapier automations capturing customer details, connecting the tools I had rather than buying a bigger system. After launch, Truespeak monitors the system, fixes failures and reviews exceptions. Where a tool has no usable connection, that step stays manual.
Start with the handoff causing trouble. See Truespeak's CRM automation work or book a discovery call.
Frequently Asked Questions
Can I run a service business on Xero plus a CRM instead of buying an ERP?
That is the setup I would assess first for a small service business, adding job or practice management where needed. Check the actual connections, record ownership and exception handling before buying.
How much does an ERP like MYOB Acumatica cost?
MYOB does not publish a price on its MYOB Acumatica page; it offers a demo and a conversation with an expert instead. Microsoft describes ERP implementation as a significant undertaking, with timing that depends on complexity, data readiness and integrations. I would ask for subscription, setup, data cleanup and support costs separately.
Is ServiceM8 an ERP?
No. ServiceM8 describes itself as job management for tradies and services, and its pricing page lists connections to Xero, QuickBooks Online and MYOB. It sits between the CRM and the accounting file rather than replacing either.
Does reaching 20 staff mean a business needs ERP?
I would not use 20 staff as a purchase trigger. Multiple departments, locations or projects, inventory requirements and gaps in operational control are better reasons to assess ERP.
