How to Automate Lead Follow-Up in Monday CRM

Key Takeaways

  • monday CRM can capture website enquiries on a board with a monday lead form, sync Gmail or Outlook through Emails & Activities from Standard, and add email sequences on monday CRM Pro, as at October 2026.
  • monday CRM Standard includes 250 custom automations a month, while Pro includes 25,000 custom automations a month, as at 18 October 2026.
  • monday's Outbound Sequencing Agent detects replies, stops further outreach to the lead and can wait for approval before taking action.
  • A connected lead follow-up system can gather job and quote context, prepare a message for approval and record the outcome against the monday CRM item.
  • Australian buyers should confirm monday CRM pricing at checkout and Australian data residency eligibility directly with monday.

I'd start with monday CRM's built-in tools. Most of the mechanics are already there: capture the enquiry, connect the inbox, schedule the follow-up and track the response. Add a connected system when the message needs information from the job, quote or another application that the native workflow cannot use.

What Can monday CRM Automate Natively, and Do You Need Standard or Pro?

Decide what should happen after an enquiry before choosing the plan. My lead follow-up strategy guide covers the timing, message and ownership decisions that should come first.

As at 18 October 2026, Emails & Activities starts on Standard, syncing Gmail or Outlook and recording opens, clicks and replies on the CRM timeline. The CRM pricing page lists sequences and mass email under Pro.

OptionVerified capability as at 18 October 2026When I'd use it
StandardEmails & Activities and 250 custom automations a month.Connected email and a modest volume of routine follow-up actions.
ProEmail sequences, mass email and 25,000 custom automations a month.A repeatable sequence of follow-ups.
Outbound Sequencing AgentOutreach, reply detection and optional approval. Agent runs consume AI credits.Outreach from a lead list, using the information supplied to the agent.
Connected systemA separately designed workflow using supported connections.Job-specific drafting, approval routing and records across applications.

The agent's template page says AI agents are available on paid monday.com plans and consume credits, which can be topped up. Check the available credits as well as the automation allowance.

How Do You Set Up Lead Follow-Up in monday CRM Step by Step?

I'd build one enquiry path first. For a renovator, that might be a website enquiry followed by a quote and a message asking whether the customer wants to discuss the scope.

  1. Capture the enquiry. Embed a monday lead form so each response populates the leads board. Ask for the service, suburb, contact details and enough information to assign an owner.
  2. Choose the trigger. Use the new enquiry or a defined stage such as Quoted. Set a next-action date and owner. monday documents due-date email automations; choose the available workflow that matches your process.
  3. Gather useful context. Keep the enquiry, quote, previous correspondence and next action accessible. For a connected workflow, specify which records the system should retrieve and what happens when information is missing.
  4. Prepare the message or task. Use a configured sequence for repeatable messages. Where the follow-up must address quote details or earlier discussions, design a connected drafting step. Sometimes the right output is a call task.
  5. Protect approval. Name the salesperson who checks the recipient, facts and proposed next step. Configure the Outbound Sequencing Agent to wait for approval if using that agent. For a connected workflow, make approval a required condition before sending.
  6. Record the outcome. Keep the email history on the timeline. Have the connected workflow add the approval and outcome as an item update, then adjust the status and next action.

Before switching on live sending, test a reply, missing email address, changed quote and declined draft. I want to see those cases handled correctly before putting real relationships through the workflow.

How Do Sequences and the Outbound Sequencing Agent Handle Replies and Approval?

Pro lists email sequences, but a sequence and an AI agent are separate choices. The clearest verified reply-handling description comes from the Outbound Sequencing Agent page: the agent detects a reply, marks the lead done and halts further outreach. The agent can also wait for approval before taking any action.

For a Pro sequence, confirm and test the reply-stop behaviour in your actual setup before enrolling customers.

The agent is designed for outbound outreach. monday also says sidekick drafts reply suggestions from engagement history. Those capabilities may be enough, but check what information reaches the draft. A lead record does not automatically contain the quote exclusions, site notes or promises made during an earlier call.

When Do You Need Zapier, Make, the API or Webhooks?

Use a connected system when the next action depends on information or approval outside the native workflow. For example, a builder's follow-up might need the latest quote attachment and a salesperson's notes before proposing a site visit.

monday's webhooks support events including item creation and status changes. An outside system can receive that event, gather the permitted context and prepare a draft. The updates API can add a new update to the item to record what happened.

Zapier's monday.com integration lists new-item and column-change triggers, plus a Create Update action. If you prefer Make, check its monday.com triggers, actions and permissions before choosing it.

The connection is only part of the build. Specify duplicate prevention, reply checks before sending, approval ownership and failure handling. Truespeak's CRM automation follows the same principle: record the outcome where staff already manage the lead.

What Does monday CRM Cost in Australia, and Is Data Stored in Australia?

As at 18 October 2026, the pricing page describes per-seat monthly pricing, monthly or yearly billing and a minimum of three users. The page does not show a fixed Australian dollar price; the final price depends on the billing country and appears at checkout. Check the page from Australia and confirm the currency, billing term, tax and final total at checkout.

monday announced an Australian data residency option on 11 July 2023, including its CRM product. That announcement does not establish that your account stores data in Australia by default. Confirm current eligibility and terms with monday, then check any connected applications separately.

What Should Stay Manual, and Where Does Truespeak Fit?

I'd keep price changes, scope disputes, complaints and uncertain commitments behind a person's approval. If the customer has raised a concern, pause the scheduled messages and give the lead to someone who can deal with it.

I'm Sonny Hovsepian, Truespeak's Sydney-based founder, with more than 20 years in commercial roles. Truespeak designs, builds and runs automation for Australian service businesses, including lead follow-up automation. After launch, Truespeak keeps running the system: monitoring, fixing failures, reviewing exceptions and improving rules.

For an Australian service business that needs job context in each follow-up and a person approving each message, Truespeak is the best fit to design, build and run the connected workflow around monday CRM.

Truespeak works with the tools a business already uses, and where a tool has no usable connection, that step stays manual. If timed emails cover the job, I'd start with monday's native tools.

If you're still choosing a CRM, compare the workflows in my Pipedrive follow-up guide and HubSpot follow-up guide. If monday is already your system, a discovery call starts with the enquiry, the required context and who approves the next action.

Frequently Asked Questions

Can monday CRM follow up leads automatically, and which plan do I need?

Yes. As at 18 October 2026, Emails & Activities starts on Standard, which includes 250 custom automations a month. Pro lists email sequences, mass email and 25,000 custom automations a month.

Can monday CRM stop follow-ups when a lead replies?

The Outbound Sequencing Agent detects replies, marks the lead done and halts further outreach. Confirm and test reply-stop behaviour in your chosen Pro sequence setup before enrolling customers.

Can a person approve monday CRM follow-ups before sending?

The Outbound Sequencing Agent can be configured to wait for approval before taking action. A separately connected workflow can also require approval before sending.

Should a service business use monday CRM's AI agent or an outside automation?

Start with the native tools when the lead record contains enough information for the follow-up. Consider an outside workflow when drafting requires quote details, site notes or records from other applications, with approval and the outcome recorded against the lead.

Does monday CRM store Australian customer data in Australia?

monday announced an Australian data residency option in July 2023, including its CRM product. Confirm current plan eligibility and account terms with monday; Australian storage should not be assumed to apply by default.
