Set the exit rules before activating the sequence. Zoho documents removal on a particular date, when records fall outside custom-view criteria, and through custom un-enrolment criteria using field values or activity signals. I would make a clear lead status, such as contacted or handled, part of the exit design. Then test what happens when a real reply arrives. Don't assume every reply will stop every cadence: confirm which signals your configuration detects and which status changes your team must record.
Which Jobs Belong to Workflow Rules, Auto-Responses and Assignment Rules?
Use a webform auto-response for the immediate acknowledgement. Use assignment rules for ownership. Use a workflow for a specific event, such as creating a task when a lead arrives or notifying someone after a field changes. Zoho's workflow documentation lists record triggers, instant actions and scheduled actions.
Use Cadences when the job is a sequence with several follow-ups and different next steps. I would keep the acknowledgement separate from that sequence so the owner can see what the lead has already received.
How Do I Set Up Automatic Follow-Up Emails for New Leads?
I'd build the following workflow around one enquiry type first. Steps involving tailored drafts are a proposed connected design.
- Define the trigger - native. Create the Lead through a webform and use an assignment rule to choose the owner. Decide which enquiries qualify for follow-up.
- Gather useful data - native capture, custom context. Capture the enquiry text and relevant contact details. For a renovation enquiry, I would include the requested work, suburb and any timing the customer supplied. Leave missing details as questions.
- Send the acknowledgement - native, with edition limits. Configure a webform auto-response template. Zoho lists different rule allowances by edition in its auto-response documentation, checked on 3 October 2026.
- Create the next action - native. Use a workflow on creation for the owner alert or first task. Enrol qualifying records in a Cadence through the chosen custom view, with explicit exit criteria.
- Draft and approve - edition-dependent plus custom. Where supported, send a workflow webhook to a connected system. That system would read the enquiry, draft the next reply and present it to the lead owner. I would require approval before sending relationship-sensitive or uncertain content.

What Happened to Zoho CRM Autoresponders?
Zoho's retirement announcement set 30 September 2025 as the discontinuation date and recommended Cadences. Older instructions telling you to create an Autoresponder are out of date.
Webform auto-response rules are a separate feature for replying to submissions. Use those for acknowledgement and Cadences for ongoing follow-up.
When Do You Need Webhooks, the API or a Connected System?
A template can acknowledge receipt. A useful next reply might need to address a customer's access concern or ask for a missing drawing. I would design the connected step around those details, with approved business information and a human gate.
Zoho's webhook documentation lists limits for Professional, Enterprise and Ultimate, checked on 3 October 2026. A webhook sends outward and supports a maximum of 10 CRM fields; it cannot retrieve data into Zoho. Check edition support and API access before committing to the design.
Writing the outcome back needs the API. Zoho's Cadence un-enrolment API supports Enterprise and above and only removes records from manual-enrolment cadences. A dynamic cadence needs its own exit design.
