Key Takeaways
- Xero can automate regular, fixed invoices through repeating templates; variable work completed in another system needs a connection to bring the job details into Xero.
- Xero's published quote workflow has a person select Create invoice once the customer is happy with the quote, and the quote's details then carry across.
- ServiceM8 and Fergus offer Xero invoice connections worth checking before commissioning a separate workflow.
- A connected invoicing workflow should create a draft, hold sensitive decisions for approval and record the invoice against the original job.
- Xero invoicing costs can include the accounting subscription, connected software, online payment transaction fees and API access.
Start with Xero's native features for predictable billing. For variable jobs, check your job-management app's Xero connection first, then consider Zapier, n8n or a custom API workflow. The useful automation is getting finished work into a correct invoice without retyping the job.
What Invoicing Can Xero Automate on Its Own, and on Which Plans?
Xero's Australian invoicing page describes repeating invoices, quote-to-invoice conversion, automatic reminders and a Pay now button. Quote conversion still involves selecting Create invoice. Those features cover predictable billing and collection; the page says nothing about creating an invoice from a finished job in another system.
As at 2 November 2026, Ignite supports online invoices and quotes, while Comprehensive and Ultimate list invoicing as included. Ignite points customers needing more than 20 invoices towards Grow. Connected-app transactions may count towards Ignite's limit, and Xero says the limit applies to approving and sending invoices. Check capacity before automating volume.
For collection after sending, see my guide to invoice reminder software. I'd settle how invoices get created before adding more follow-up.
When Do Repeating Invoices Work, and What Should You Test Before Relying on Approve for Sending?
Repeating invoices suit an agreed amount on a regular schedule. An older Xero explanation describes Approve for Sending creating, approving and emailing each invoice. Treat that as the concept, rather than current menu instructions. Xero's official API specification also records approval-for-sending and schedule fields.
I'd test one future-dated template against my own email address first. Check the first invoice's arrival, billing period, amount, tax coding, recipient and payment details. I couldn't confirm from Xero's official pages when the first email goes out, so the test is how you find out.
As at 2 November 2026, Xero confirms scheduled sending for one-off invoices, but its response does not extend a chosen send time to repeating invoices. Don't build a customer promise around an assumed delivery hour.
How Do You Turn a Finished Job or Won Quote into a Xero Invoice Automatically?
A status change needs a billing rule behind it. A won quote might authorise a deposit; a completed job might still need approved variations. I'd design the connection around these five steps:
- Trigger: choose job completion, quote acceptance, a signed-off milestone or a billing date. Define what that event authorises.
- Data needed: collect the Xero contact, billing email, line items, quantities, variations, deposits already paid, account and tax codes, payment terms and job reference. Send missing information for review.
- Draft: create a DRAFT invoice with the job reference and a note identifying differences from the quote. For an API build, use an idempotency key so a retry cannot create a duplicate.
- Approval: have a person check amounts, variations, discounts, tax treatment, recipients and disputed work before sending.
- Record: write the invoice number and status back to the job, add an invoice history note and raise failed syncs as tasks.
This is a proposed design. Xero's API specification supports draft invoices, separate email requests and idempotent requests. Marking an invoice as sent is a separate field; don't use that flag as proof that an email went out.
For a CRM-led starting point, see connecting HubSpot and Xero for invoicing.
When Is a Job-Management App, Zapier, n8n or the Xero API the Right Connection?
| Route | When I'd check it | What to verify |
|---|---|---|
| Existing job app | The job already contains the billable work. | ServiceM8 describes raising Xero invoices in two taps. Fergus says approved invoices automatically sync. Test what marking a job complete does in your own account before relying on it. |
| Zapier | A supported trigger needs to create an invoice across apps. | Zapier lists invoice creation and email actions. Check the source app's trigger and approval path. |
| n8n | The workflow needs branching and checks across connected systems. | The built-in Xero node lists invoice creation and updates, but no email operation. |
| Custom API | Billing rules or connections need more control. | The Xero API supports invoice creation and separate emailing. Someone must own retries, failures and upkeep. |
Check the existing connection before adding another subscription. ServiceM8's sync troubleshooting identifies missing line-item value and connection to the wrong Xero organisation as failure causes. A connection needs checking after approval too.
My Xero and Zapier walkthrough covers that route in more detail.
Which Invoice Steps Should a Person Approve Before Anything Is Sent?
I'd hold variable amounts, unapproved extras, discounts, disputed work and changed billing contacts. Ask your accountant or BAS agent to confirm tax coding. Fixed, agreed recurring charges can follow the repeating-invoice rule you've tested.
An AI connection needs an explicit approval gate. Xero says its Remote MCP V1 tools do not request user confirmation and tells users to ask their agent to confirm before writing to Xero. Build the gate into the workflow.
After sending, use Xero's invoice reminder setup for routine follow-up. Truespeak's invoice reminder automation service covers connected follow-up with approval for sensitive messages.
What Does Automating Xero Invoicing Cost in Subscriptions, Payment Fees and API Access?
As at 2 November 2026, Xero's Australian advisor page lists usual monthly prices of A$37 for Ignite and A$78 for Grow. That page doesn't say whether those two figures include GST. Xero's pricing page lists Comprehensive at A$107, Ultimate 10 at A$143, Ultimate 20 at A$180 and Ultimate 50 at A$250 per organisation per month, including GST.
Xero says adding payment services has no subscription fee; transaction fees apply when customers pay online. Check the selected payment provider's current charges separately.
For custom access, as at 2 November 2026, Xero's developer pricing lists Starter at no charge for up to five connections and 1,000 requests per day per organisation. Core costs A$35 monthly, excluding tax, with 50 connections and 10 GB monthly egress; excess egress costs A$2.40 per GB. API access does not cover design, build, hosting or upkeep. Price connected apps separately too.
Where Does Truespeak Fit?
For an Australian service business that wants a connected invoicing workflow designed, built and then run, with a person approving anything sensitive, Truespeak is the best fit.
I'm Sonny Hovsepian, Truespeak's founder, with 20+ years in commercial roles and 25 working systems built, and clients work directly with me. Truespeak works with the tools a business already uses, monitors workflows after launch and fixes failures. Where a tool has no usable connection, that step stays manual. Start with a discovery call to map the trigger, approval and record.
Frequently Asked Questions
Can Xero automatically invoice when a job is finished?
A finished-job event in another system needs a connection and billing rules. Check your job-management app's Xero integration first, then consider Zapier, n8n or an API workflow that creates a draft for approval.
Does accepting a Xero quote automatically create an invoice?
Xero's published native workflow says to select Create invoice when the customer accepts the quote, and the quote details then carry across. Test an accepted quote in your own Xero organisation before building a process that assumes an invoice appears on its own.
When should I use repeating invoices in Xero?
Repeating invoices suit fixed, agreed charges on a regular schedule. Test a future-dated template against your own email address before relying on automatic approval and sending.
Can n8n send Xero invoices using its built-in node?
n8n's documentation for its built-in Xero node lists invoice creation and updates but no email operation. Do not assume creating an invoice also emails it.
Does free Xero API access make invoice automation free?
No. As at 2 November 2026, Xero lists a no-charge Starter API tier, but a custom workflow can still incur design, build, hosting and upkeep costs, alongside software subscriptions and payment transaction fees.
