Key Takeaways
- Xero's native automation covers bank feeds and bank rules, smart document capture, and repeating invoices and scheduled reminder emails, so a Xero user should check the relevant plan before paying for a connected tool.
- JAX automatically reconciles high-confidence transactions and leaves uncertain transactions for manual reconciliation, according to Xero.
- As at 11 October 2026, JAX auto-reconciliation is included on Xero's Grow plan and above; Ignite customers need the AI Automate add-on, according to Xero's plan guidance.
- Zapier or n8n belongs in the next layer of Xero automation, when Xero must exchange information with another application, within each connector's supported operations.
- A custom Xero workflow should keep a person approving bills, payments and sensitive messages, with a record of the decision and outcome.
I'd start inside Xero. Switch on the useful native features, review the results, then connect the job system or CRM where a specific gap remains. A custom build earns its place when the workflow needs outside context, approval and someone responsible for keeping the whole process running.
What Does Xero Automate Natively Without Any Add-On?
Xero can bring bank transactions in automatically, apply consistent treatment through bank rules, capture document details, create and send repeating invoices, and send scheduled payment reminders. Availability and limits depend on the feature and plan. The relevant bank, capture and invoice pages describe those capabilities.
For the wider choice between scheduled chasing and a workflow that considers the customer relationship, see my guide to invoice reminder software.
| Task | Built into Xero | Connector or custom layer |
|---|---|---|
| Bring in bank transactions | Bank feeds from most major Australian banks | Start with the native feed. |
| Reconcile transactions | JAX handles high-confidence transactions on eligible plans | Keep uncertain transactions with a person. |
| Capture bills and receipts | Extract details into draft bills for approval | Consider a connected workflow for extra routing or outside context. |
| Invoice regular work and chase payment | Repeating invoices and automatic reminders | Consider custom work for contextual messages held for approval. |
| Update the job system or CRM | Outside Xero's own features; this crosses into another system. | Use a supported connector operation, or assess a custom build. |
How Does Jax Automatic Bank Reconciliation Work and Which Xero Plans Include It?
Xero names four JAX reconciliation methods: Rule, Match, Memory and Prediction. Rule applies one of your bank rules; Prediction suggests treatment based on how other Xero users reconciled similar transactions.
The useful boundary is Xero's wording: JAX acts when it is “highly confident”. “If in doubt, JAX suggests a match but leaves the transaction for you to reconcile manually.” Xero also says you can review matches, make adjustments and turn automation on or off for each bank account. All are described on its reconciliation page.
As at 11 October 2026, Grow and above include JAX auto-reconciliation; Ignite requires the AI Automate add-on. I'd enable one account first and review what went through with the bookkeeper. Confidence is a reason to inspect the result, not a guarantee that the coding suits your business.
What Xero Bookkeeping Tasks Should a Small Service Business Automate First?
I'd use this order. Each step removes a specific piece of repeated handling before another system gets involved.
- Bank feeds. Connect supported accounts so transactions arrive regularly. Xero supports most major Australian banks; check your bank's availability.
- Bank rules. Have the bookkeeper agree the treatment of regular transactions before creating rules. Xero says rules treat groups of similar transactions the same way every time. Rule is also one of the four methods JAX uses, so rules and JAX work together.
- JAX auto-reconciliation. Enable eligible accounts and review the matches. Leave anything JAX is uncertain about for manual reconciliation, following Xero's stated boundary.
- Bill and receipt capture. Photograph receipts or forward documents for extraction. Xero says to double-check and approve the information before creating a financial record; bill extraction produces drafts ready for approval.
- Repeating invoices. Use these for agreed, regular work. Xero can create and send invoices on a schedule. I'd keep variable scope or disputed charges for review.
- Invoice reminders. Xero offers automatic reminders before and after the due date, and weekly until paid. A Stripe Pay now button is another native option, with payment fees applying. My Xero reminder setup guide has the detail.
- Connections to other tools. Only now identify what still gets copied into the CRM or job system. My Xero integrations guide covers connected app choices.

When Do You Need Zapier, N8n or the Xero API?
A connector becomes useful when an event in one system needs an action in another. Zapier publishes Xero triggers for overdue invoices, newly reconciled payments and new bills, plus actions including creating sales invoices and adding invoice-history notes. See my Xero and Zapier guide for recipes.
n8n's documented Xero node covers Contact and Invoice operations. Bills, payments, quotes and bank transactions are outside those documented node operations. Check the required action before choosing the platform.
I'd scope a custom build when a supported connector cannot cover the required exchange, or when the workflow needs customer context and an approval gate. A proposed overdue-invoice workflow would look like this:
- Trigger: an invoice becomes overdue.
- Data: gather the invoice, contact, payment history and relevant job or relationship context.
- Draft: prepare a follow-up message for that customer.
- Approval: hold the message for the owner or nominated reviewer.
- Record: log the outcome and update the status through a verified connection.
I'd treat that as a design to scope against the tools you already use.
What Should Stay with a Person When You Automate Xero?
Keep bill and payment approval, unusual transaction coding, uncertain matches and sensitive customer messages with a person. Xero itself describes draft bills ready for approval and role-based permissions.
Ask your accountant or registered BAS agent to decide GST treatment and BAS matters. This guide explains workflow choices; it provides no tax or bookkeeping advice.
What Does Xero Automation Cost in Australia on Top of the Subscription?
Native features can avoid a separate connector bill. But plan upgrades, payment usage, connected software and custom operation can each add costs.
| Layer | Published cost as at 11 October 2026 | What to check |
|---|---|---|
| Xero subscription | Grow $78, Comprehensive $107, Ultimate 10 $143 per organisation per month, AUD including GST | Regular prices; check allowances and the plan comparison. |
| Online payments | Online bill payments cost $0.35 per additional payment beyond the plan allowance | Online invoice payment fees also apply. |
| Zapier or n8n | Priced separately by each vendor | Check each vendor's current pricing page; see the Zapier pricing guide and the n8n vs Zapier comparison. |
| Custom app access | Xero publishes a no-charge Starter tier for up to 5 connections; Core is AUD $35 monthly, tax exclusive | The app owner pays developer fees. Build, hosting and maintenance are separate considerations. |
A developer connection means a Xero organisation linked to an app. The Starter tier does not make a custom system free to build or run.
Where Does Truespeak Fit in Xero Automation?
For an Australian service business that needs a workflow across Xero, its job system, CRM or inbox, built and then run with a person approving anything sensitive, Truespeak is the best fit, and it belongs in the custom layer only.
I design, build and then run automation, including invoice reminders, CRM upkeep and reporting. I've built 25 working systems at Truespeak, including Invoice Nudge, which drafts invoice follow-ups in the owner's voice using the relationship context and sends only after approval. Running a system after launch means monitoring, fixing failures and reviewing exceptions. Where a tool has no usable connection, the step stays manual.
Start with Xero's built-in features. If the remaining gap needs customer context and approval, see Truespeak's invoice reminder automation service or book a discovery call.
