Key Takeaways
- Australian trade businesses should start with the AI writing and data-entry features already available in their job software, then connect enquiry response, quote follow-up and invoice reminders.
- Enquiry response automation should prepare a useful reply while the tradie is on the tools, with a person approving the message and handling prices or emergencies.
- Quote follow-up automation should use the customer's job details, pause when the customer replies and record the decision against the job.
- Invoice automation should prepare invoices and reminders from checked job and payment records, with a person approving anything about money before sending.
- Truespeak designs, builds and runs connected automation around existing business tools, but has not built a ServiceM8, Tradify or Fergus integration and has no tradie automation results to quote.
I'd start with the admin attached to work already coming through the door: answering enquiries, following up quotes and getting completed jobs invoiced and paid. First, check what your job software already does. Then look at where someone still has to copy details, check another inbox or remember the next step.
I was born and raised in Australia, and I ran my own small business, Haus Bright, where I automated customer service enquiries and customer data capture. That shapes my approach: start with a recurring job you can check, and keep the owner in control.
What Are the First Three Things a Tradie Should Automate with AI?
My recommended order is enquiry response, quote follow-up, then completed jobs through to payment. Each has a clear starting point, a customer waiting for something and an outcome you can record. If overdue invoices are your biggest headache, move that workflow first.
| Workflow | Why I'd start there | Measure |
|---|---|---|
| Enquiry response | Give each incoming job request an owner and a prepared reply. | Time to first reply; enquiries unanswered after 24 hours. |
| Quote follow-up | Turn an open quote into a next action or a recorded decision. | Quote acceptance rate; days from quote to decision. |
| Invoice preparation and chasing | Connect completed work to an approved invoice and checked reminders. | Days to payment; total overdue. |
Record your starting position before switching anything on so you can judge whether the workflow helps.
What AI Is Already Built into ServiceM8, Tradify and Fergus?
As at September 2026, all three publish AI features. I'd test the relevant features in your existing account before commissioning extra drafting or data-entry work.
- ServiceM8: its product introduction lists AI quoting, invoice generation and a writing assistant for customer emails, texts and quote or invoice descriptions. Check the Australian pricing page for your plan's inclusions.
- Tradify: SmartWrite generates descriptions from quote and invoice line items and improves writing. SmartRead extracts details from photographed supplier invoices. The pricing page lists these SmartTools on the Plus plan as at September 2026.
- Fergus: its 13 September 2026 announcement says Fergus Assistant on desktop and the mobile assistant in Fergus Go are available in Australia. Fergus describes asking about jobs, costs and numbers, and typing or speaking to update jobs and time. Fergus also says Fergus AI prepares work with confirmation steps before creating anything.
Those features give you a starting point inside the software. The next check is whether the whole process works: incoming message, correct job record, approved action and recorded outcome. My ServiceM8 and Tradify comparison covers the broader software decision.
How Does AI Enquiry Response Work While You're on the Tools?
I'd design enquiry response automation around a useful draft waiting for approval. A reply that invents availability just creates another problem.
- Trigger: a web form, email enquiry or booking request arrives.
- Prepare: extract the suburb, job type, urgency and supplied photos. Create a lead or job where a usable connection exists. Draft a reply asking for missing details or proposing a time from checked availability.
- Approve: the owner or office person checks the reply before sending. Price questions and emergencies go directly to a person.
- Record: attach the enquiry, approved reply and next action to the lead or job.
- Measure: track first-reply time and enquiries still unanswered after 24 hours.
The approval step needs an owner too. If nobody checks the drafts, you've moved the unanswered enquiry into another queue.
Truespeak does not answer phones or offer AI receptionists or voice agents. For call answering, ServiceM8 publishes its own Phone Agent add-on; check its current requirements.
How Do You Automate Quote Follow-Up Without Annoying Customers?
I'd make each follow-up about the actual quote: an unanswered scope question, a proposed start date or whether the customer still wants to proceed. Stop the sequence when the conversation resumes.
- Trigger: a quote remains unaccepted at a follow-up point you choose.
- Prepare: draft a message using the quote, site notes and earlier correspondence. Prepare a call task when a conversation would suit better.
- Approve: a person checks the timing and wording. Pause pending follow-ups when the customer replies, accepts or declines.
- Record: save the response, next action and quote status. Have someone review stale quotes before closing them.
- Measure: track acceptance rate and days to a decision, including declines.
ServiceM8's Automation add-on already supports quote follow-up by email or text. Check that first. My ServiceM8 quote follow-up guide covers the detail; connected lead follow-up becomes relevant when the process needs context or actions across other tools.
How Do You Automate Invoice Chasing Without Annoying Customers?
Before preparing a reminder, check whether the invoice has been paid, disputed or put under an agreed payment arrangement. I'd rather hold a message for review than chase a customer whose payment hasn't been reconciled.
- Trigger: a job is marked complete, or an invoice becomes overdue.
- Prepare: draft the invoice from checked job records, or prepare a reminder using the outstanding balance, previous messages and relationship context.
- Approve: a person checks amounts, variations, payment status and wording before anything sends.
- Record: log the invoice or reminder and update the accounting or job system. Hold disputed accounts for personal follow-up.
- Measure: track days to payment and total overdue.
Keep reminders about the customer's own job and account. Don't slip a promotion into a payment message. The work in invoice reminder automation is checking the context as carefully as drafting the words.
Worked Example: A Hypothetical Two-Van Electrical Business
This is a design example, not a Truespeak client story. Imagine an electrical business in Western Sydney with two vans and an owner who handles enquiries between jobs.
A switchboard upgrade enquiry arrives by email. The proposed workflow extracts the address and request, then prepares a reply asking for missing photos. The owner checks the message; the system makes no safety assessment or price commitment.
After a site visit, the owner sends a checked quote. If the quote remains open at the chosen follow-up point, a draft asks whether the customer needs anything clarified. A reply pauses further follow-ups and creates a task for the owner.
Once the job is complete, the workflow prepares an invoice for approval. An overdue reminder waits for a payment-status check. The owner compares reply times, quote decisions and overdue balances with the starting position.
What Should Tradies Not Automate with AI?
I'd keep safety assessments, emergency advice, compliance sign-off, final pricing, discounts and disputes with a qualified or authorised person. AI can prepare information for review; the person needs to make the decision.
Business.gov.au advises checking AI-generated information, content and decisions before use, and telling customers how you use AI. Treat approval as a real check, with the source information visible beside the draft.
Do the Same First Steps Apply to Electricians, Plumbers, Painters and Roofers?
Yes, I'd use the same enquiry, quote and invoice framework, then change the intake questions and escalation rules. A plumbing emergency needs a person immediately. A roofing quote might need photos and site measurements. A painting enquiry might need room details, surface condition and access arrangements.
The starting workflow can be similar; the information needed to act should match the trade. For related project work, see Truespeak's automation for kitchen and bathroom renovators page.
Where Does Truespeak Fit?
For an Australian trade business that wants automation built around its existing tools and then run for it, with a person approving anything sensitive, Truespeak is built for exactly that.
I design, build and run those workflows, including monitoring, fixing failures and improving rules after launch. Where a tool has no usable connection, that step stays manual.
I haven't built a ServiceM8, Tradify or Fergus integration before, and I have no tradie automation client results to quote. Connection checks belong in discovery, before promising a build. If that's the gap in your business, book a discovery call and start with one workflow.
Frequently Asked Questions
Do I need something extra if my job software already has AI?
Check the built-in features first: the AI in your job software handles drafting inside that tool. Extra automation becomes relevant when you need a connected workflow across your inbox, job software and accounts, with a person approving anything sensitive.
Which Tradify plan includes SmartWrite and SmartRead?
As at September 2026, Tradify's pricing page lists SmartWrite and SmartRead on the Plus plan, with Custom including everything in Plus.
Can AI tools save admin time for plumbers and electricians?
AI features can prepare customer messages, descriptions and data entry. Measure the full task, including checking and corrections, against your starting position.
Is it safe to connect ServiceM8 to ChatGPT or Claude?
ServiceM8 publishes a way to connect ChatGPT or Claude. ServiceM8 says some actions can change information in your account, such as adding notes, creating bookings, sending messages or changing job status. A person should approve those actions before they happen.
Does Truespeak provide phone answering or existing tradie software integrations?
Truespeak does not provide phone answering, AI receptionists or voice agents. Truespeak has not built a ServiceM8, Tradify or Fergus integration before; usable connections must be checked during discovery.
